AI Lead Management System: How AI Calls, Qualifies and Routes Every Lead
An AI lead management system calls every new lead automatically, asks your qualifying questions, labels the lead (Hot, Warm, Cold or Not a lead) from the actual answers, and sends the ready ones to your sales team or CRM — with a recording and transcript as proof.
Why leads are lost today
Most sales teams do not lose leads because the leads are bad. They lose them because the first call comes too late, because the team cannot reach every lead, and because there is no record of what each lead actually said. A CRM shows the lead exists; it does not call it.
The AI lead lifecycle
- Capture. A lead arrives from your website, an ad, a portal or a CSV.
- First call. The AI agent calls — within seconds if your form sends it to the API, or when the campaign runs.
- Qualify. The agent asks your questions: need, budget, location, timeline, decision-maker — whatever your best salesperson asks.
- Label. The lead is marked Hot, Warm, Cold or Not a lead, with a summary.
- Route. Hot leads can be transferred live to a salesperson, and every result goes to your CRM by webhook.
- Follow up. Unanswered and busy numbers are retried automatically; Warm leads go into a follow-up campaign or WhatsApp.
How the four labels work
| Label | Meaning | What your team does |
|---|---|---|
| 🔥 Hot | Clear need, fits your criteria, ready to move soon | Call back today, or take the live transfer |
| 🌤️ Warm | Interested but not ready, or missing one criterion | Nurture: follow-up call or WhatsApp in a few days |
| ❄️ Cold | Talked, but no current need | Keep for a later campaign |
| 🚫 Not a lead | Wrong number, not the right person, or no real conversation | Remove or clean the list |
A label is only as good as the evidence behind it. TaskVox bases the label on the answers given in the call and checks Hot and Warm labels against the transcript before saving them, so a polite “okay” does not become a hot lead.
Setting up qualification questions
- Keep it to 4–6 questions. Long interrogations end calls early.
- Ask the deal-breakers first — budget, location or eligibility.
- Write what makes a lead Hot in plain words, e.g. “budget above ₹50 lakh and buying within 3 months”.
- Use what you already know. Name, product and city from your CSV are variables the agent can use, so it does not ask again.
Connecting it to your CRM
Two pieces make the system hands-free:
- In: your form or CRM calls the TaskVox API to start a call the moment a lead is created.
- Out: TaskVox sends a
call.completedwebhook with the outcome, so the CRM record updates itself.
You can also download leads as CSV from the Leads page at any time.
What to measure
- Answer rate — how many leads picked up.
- Connected over 30 seconds — real conversations, not hang-ups.
- Hot and Warm as a % of answered calls — the quality of your list and script.
- Average handling time — long enough to qualify, short enough to stay cheap.
- Cost per Hot lead — total spend ÷ Hot leads. Compare it with what a Hot lead costs you today; on TaskVox you pay ₹2–₹4 per answered minute and nothing for unanswered calls.
The TaskVox dashboard shows the first four for any date range and for each campaign.
Common mistakes
- Calling old, unconsented lists — low answer rates and compliance risk.
- Treating every “interested” as Hot without a clear rule.
- No follow-up for Warm leads, where much of the revenue sits.
- Never listening to recordings — ten calls a week is enough to fix most scripts.
Frequently asked questions
What is an AI lead management system?
An AI lead management system contacts every new lead automatically, qualifies it with a conversation, scores it from the answers, and routes the good ones to your sales team or CRM — so no lead waits and sales reps spend time only on buyers who are ready.
How is it different from a CRM?
A CRM stores leads and tracks the pipeline; someone still has to call and qualify each lead. An AI lead management system does that first contact and qualification itself, then hands the result to your CRM.
How does the AI decide if a lead is Hot, Warm or Cold?
From the answers to your qualifying questions in the call. On TaskVox each lead gets Hot, Warm, Cold or Not a lead with a short reason and summary, and Hot and Warm labels are checked against the transcript before they are saved.
Can it send leads to my CRM?
Yes. TaskVox fires a call.completed webhook after every call with the outcome and details, and an API lets your website or CRM start a call to a new lead.
How fast can a new lead be called?
Within seconds, if your form or CRM sends the lead to the TaskVox API. Leads uploaded by CSV are called when the campaign runs, during permitted calling hours.
