Privacy Policy

Last updated: 8 October 2026

This policy explains how Taskvox (“TaskVox AI”, “we”, “us”) handles personal data when you visit taskvox.in, create an account, or use our AI voice, WhatsApp and lead-management services. It is written to meet India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Act, 2000 and its rules.

1. Two kinds of data, two roles

  • Your account data — your name, email, phone, organisation, billing and GST details, login activity and payments. For this data we decide why and how it is used, so we act as the data fiduciary.
  • Your contacts’ data — the phone numbers, names and other fields you upload or send to us, and the calls and chats our AI agents have with those people (recordings, transcripts, summaries, lead labels, answers collected). We process this only on your instructions, to provide the service to you. For this data you are the data fiduciary and we act as your data processor. You are responsible for having a lawful basis (for example consent or an existing customer relationship) to contact these people and to share their data with us.

2. What we collect

When you visit the website

Pages you view, referring site, device and browser information and approximate location, through Google Analytics 4, Google Tag Manager and Google Ads conversion tracking, which use cookies. Forms you submit (for example a partner application) are stored with the details you enter.

When you use the service

  • Account and organisation details, and billing / GST details you enter.
  • Payment records. Card, UPI and bank details are entered on Razorpay’s checkout and handled by Razorpay; we receive the payment status and reference, not your full card or bank details.
  • Agent configurations, scripts, campaigns and contact lists you create or upload.
  • Call data: audio recordings, transcripts, call summaries, durations, outcomes and lead labels.
  • WhatsApp conversations handled through a WhatsApp Business number you connect.
  • Technical logs (IP address, timestamps, errors) used to run and secure the service.

3. Why we use it

  • To provide the service: place and answer calls, run AI conversations, transcribe and summarise them, label leads, send webhooks and show results in your dashboard.
  • To bill you, issue GST invoices and keep tax and accounting records.
  • To secure the service, prevent fraud and abuse, and investigate problems.
  • To contact you about your account — low-balance alerts, invoices, security notices and service changes.
  • To understand how the website is used and measure our advertising (website data only).

We do not sell personal data, and we do not use your contacts’ data or call recordings to market to them or for any purpose of our own.

4. Who we share it with

We share data only with service providers that help us run the service, under contract, and only as much as each one needs:

  • Cloud hosting — a major cloud provider’s data centre in India, where our servers, database and call recordings are stored.
  • AI and speech providers — providers of large-language-model, speech-to-text and text-to-speech services. Audio and text from calls are sent to them only to produce each reply, transcript or voice.
  • Telecom carriers — licensed Indian telecom operators that connect the calls.
  • WhatsApp — Meta and WhatsApp Business solution providers, when you connect a WhatsApp number.
  • Payments — Razorpay.
  • Email — our email provider, for account and billing messages.
  • Analytics and advertising — Google, for website data only.

Some of these providers process data outside India. Where that happens, it is done for the purposes above and subject to any restrictions notified under the DPDP Act. We may also disclose data when required by law, a court or a government authority.

5. How long we keep it

Account data is kept while your account is active and afterwards for as long as needed for tax, accounting and legal purposes. Call recordings, transcripts, contact lists and conversation data are kept while your account is active so you can review them, unless you ask us to delete them earlier. When you close your account, we delete or anonymise your contacts’ data within a reasonable time, except where the law requires us to keep it. Backups are overwritten on a rolling basis.

6. Your rights

Under the DPDP Act you may ask us to give you a summary of your personal data we process, correct or update it, erase it, and nominate another person to exercise these rights for you. You can also raise a grievance with us, and if it is not resolved, with the Data Protection Board of India.

If you are a person who received a call or message from one of our customers, please contact that business first — they decide why your data is used. You can also write to us and we will pass your request to them and help them act on it.

7. Security

We use encryption in transit (HTTPS), hashed passwords, optional two-factor authentication, access controls and regular backups. See our Security page for details. No system is perfectly secure; if we become aware of a personal data breach that affects you, we will notify you and the authorities as the law requires.

8. Cookies

The website uses cookies for analytics and advertising measurement (Google Analytics, Google Tag Manager, Google Ads), and the dashboard uses a cookie to keep you signed in. You can block or delete cookies in your browser; the dashboard will not work without its sign-in cookie.

9. Children

The service is for businesses and is not meant for anyone under 18. We do not knowingly collect children’s data for our own purposes.

10. Grievance Officer

For questions, requests or complaints about personal data, write to our Grievance Officer at support@taskvox.in with the subject “Privacy”. We will acknowledge your request and respond within the time required by law.

11. Changes

We may update this policy. The date at the top shows the latest version; for significant changes we will tell account holders by email or in the dashboard.
