Automated Property Follow-up Calls: How Real Estate Teams Follow Up Every Lead

Quick answer

Automated property follow-up calls are made by an AI voice agent instead of your sales team: it calls every new enquiry, calls again when a buyer does not pick up, notes when a buyer asks to be called later, asks budget, location and timeline, and captures site-visit interest. Your team then spends its time on the buyers who are ready — with a recording and notes for every call.

In real estate, leads are rarely lost on the first call. They are lost on the follow-up — the second call that never happened, the “call me next week” that nobody remembered, the old enquiry that was never called again. This guide shows how real estate teams in India use automated property follow-up calls to follow up every lead, what a good follow-up call sounds like, the rules to follow and what it costs. Why property leads go cold

  • Missed first calls. Buyers enquire from work, while driving or late in the evening. If the first call is missed and nobody tries again, the lead is gone.
  • “Call me later” is forgotten. A buyer who says “weekend pe baat karte hain” is a warm lead — and the easiest one to lose when the next campaign starts.
  • Old enquiries are never revisited. Last quarter’s leads sit in the CRM while the team chases this week’s.
  • No record of what was said. Without notes, the next caller asks the same questions again.

The five follow-ups that win property deals

  1. The first call, fast. Call the enquiry while the buyer still remembers the project. Connect your website form or CRM so every new lead is called within seconds, or upload the day’s leads as a campaign.
  2. Retries for missed calls. Numbers that do not answer or are busy are called again automatically a few minutes later; schedule another round for the next morning if needed.
  3. The call back at the asked time. When a buyer says “kal shaam 5 baje call karna”, the request is saved with that day and time in the Call Backs list — with the buyer’s name, number and exact words — so your team calls them when they asked.
  4. The site-visit follow-up. Interested buyers are asked for a preferred day and time to visit; the answer is saved with the lead for your team to confirm.
  5. Re-activating old enquiries. Upload older leads from your CRM as a campaign and let the agent find out who is still looking.

How automated property follow-up works on TaskVox

  1. Create the agent — tell TaskVox your project name and what you sell, and it writes the first script, greeting and questions for you: budget, preferred location, BHK or plot size, ready-to-move or under construction, purchase timeline and site visit.
  2. Upload leads as a CSV with columns such as Name, Project and Location. The agent uses them in the call, so a follow-up sounds like a follow-up, not a cold call.
  3. Start the campaign. It calls within calling hours, retries missed numbers and records every answered call.
  4. Work the results. Every lead gets a Hot, Warm, Cold or Not a lead label with a summary. Call the Hot ones first, call the call backs at their time, and send results to your CRM by webhook. Hot buyers can also be transferred live to your sales number during the call.

Tips for follow-up scripts that work

  • Mention the enquiry in the first sentence — project, location or configuration. Buyers stay on the line when they recognise the reason for the call.
  • Don’t re-ask what you already know. Put known details (budget band, project, source) in CSV columns and tell the agent to confirm them instead of asking again.
  • One clear next step — a site visit, a call from your sales team, or the brochure on WhatsApp.
  • Respect “not interested”. Thank them and stop; repeated calls to uninterested buyers hurt your number’s reputation.

Rules for follow-up calls in India

  • Call only people who enquired with you, between 8 am and 8 pm. TaskVox does not start campaign calls outside that window.
  • Anyone who asks not to be called is added to your do-not-call list, which is checked before every dial.
  • Never ask for OTPs, card numbers or bank details on a call.

What to measure

  • Connected % — share of leads who picked up after all attempts.
  • Hot and Warm leads — how many buyers are worth a sales call.
  • Call backs done on time — the easiest wins in any follow-up programme.
  • Site visits requested — the real goal of a property follow-up.

What automated follow-up costs

You pay only for answered minutes: ₹2–₹4 per minute with the phone call included, no monthly fee. Example: following up 2,000 property leads that talk for about a minute and a half each is about 3,000 minutes — ₹7,500 at ₹2.5/min. Unanswered calls cost nothing. See the rate card and calculator.

Property follow-up calls — frequently asked questions

What are automated property follow-up calls?

They are follow-up calls to property leads made by an AI voice agent instead of a person: a first call when the enquiry arrives, repeat calls when the lead did not pick up, a call at the time the buyer asked for, and calls to older enquiries. Every call is recorded and the lead is labelled Hot, Warm, Cold or Not a lead.

How many times should I follow up a property lead?

Follow up until you get a clear answer, but space the calls out. On TaskVox, numbers that do not answer or are busy are retried automatically a few minutes later, and you can schedule another round for a better time, such as the next morning. Anyone who asks not to be called again is added to your do-not-call list.

Can the AI call back at the time the buyer asked for?

When a buyer says something like “kal shaam 5 baje call karna”, TaskVox saves the request with the day and time in the Call Backs list, with the buyer’s name and number. Your team — or a new campaign — calls them at that time. The call back is not redialled automatically yet.

Can the AI agent book site visits?

It asks interested buyers for a preferred day and time for a site visit and saves it with the lead, so your team can confirm the visit. It does not write into your calendar directly.

Can I follow up old property leads from my CRM?

Yes. Export them as a CSV — with columns such as the buyer’s name, project and location — and upload them as a campaign. The agent can use those details in the call, for example “Aapne Sector 62 ke 2 BHK ke baare mein enquiry ki thi”.

How much do automated follow-up calls cost?

On TaskVox, ₹2–₹4 per answered minute with the phone call included, pay-as-you-go from ₹100, no monthly fee. Unanswered calls are free.
